How to add an AI Agent to your Vagaro booking — without migrating.
Most AI chatbot tools ask you to migrate your entire booking system. Vagaro runs your salon. You're not tearing it out for an AI gimmick. Good news: you don't have to.
A BotForge Action Agent runs alongside Vagaro. It drives Vagaro like your receptionist would — opening your Vagaro booking page, picking the service, selecting the stylist, pressing submit. No API. No migration. No data swap.
How it actually works
When a visitor says "I want balayage with Sarah next Saturday at 10am," the Agent:
- Confirms the service and time in chat
- Opens your Vagaro booking URL in a headless browser
- Navigates to the service, the stylist, the date, the time
- Fills the contact form with the visitor's name and phone
- Submits
- Returns the confirmation number to the visitor in chat
You don't install anything in Vagaro. You don't give us your Vagaro login. The Agent just uses your public Vagaro booking URL — same as a customer would.
What you need to provide
- Your public Vagaro booking page URL (it looks like
vagaro.com/yoursalon)
- Which services should be bookable via the Agent (you might want some services human-only — weddings, consultations)
- Your stylist list and their specialties
- Your cancellation policy wording

What it covers
- New bookings via chat
- "What time does Sarah have on Thursday?" — live availability check on Vagaro
- Service pricing lookups
- Cancellation/reschedule redirects (the Agent sends them to your Vagaro customer portal — it doesn't cancel for them, for safety)
What it doesn't cover

Payment at booking. Vagaro handles card-on-file via its own flow. The Agent books the slot, customer completes payment in Vagaro's checkout.

CAPTCHA gates. Vagaro sometimes triggers CAPTCHA on suspicious traffic. When that happens, the Agent gracefully hands off with an orange "Complete your booking here" button linking directly to the Vagaro page with service + time pre-filled.

Cancellations initiated by customer. For safety, the Agent does not cancel existing bookings. It directs them to your Vagaro customer portal or your cancellation email address.
